Use the Communication Plan to define what, who, why, when, and how to effectively deliver important information.

It helps to ensure that messages are clear, consistent, and delivered through the appropriate channels to the intended audience.

The Communication Plan answers the following questions.
  • What do you want to achieve with your communication efforts?
  • Who is your target audience and what are their communication preferences?
  • What is the key message you want to convey?
  • What is your timeline for delivering the message?
  • Who is responsible for delivering the message?
  • What are the best delivery methods or channels for reaching your target audience?

How-to

  1. What: Determine the goals of the communication and what your audience needs to know, then develop the message you want to communicate.
  2. Who: Identify your audience and understand their needs and preferences. Also, clarify who is responsible for contributing to and communicating the message.
  3. Why: Explain the purpose of the message.
  4. When: Determine when or how often to deliver the message.
  5. How: Specify the method for delivering the message. Determine which activities, delivery methods, and channels will reach your target audience most effectively.
