A report owner can share their report with other users so they can view, edit, and find the report quickly.

Sharing levels

Share reports to collaborate with team members and keep key stakeholders informed. When you share your report, you can give selected users different levels of access to your report.

  • Can View allows users to open and view the report.
  • Can Edit allows users to open and edit the report.
Note

Users are not notified when their sharing levels change.

Share a report

You can share a private report when you are the report owner.

You can share a public report when you are the report owner or a data architect.

To share a report from the live site, complete the following steps. (You cannot share a report from the sandbox.)

  1. Sign in to the web app.
  2. Select the Dashboard tab.
  3. From the reports list, select the expand button , then select the report that you want to share.
  4. Choose Actions > Share Report.
  5. Search for and select one or more users, set their sharing levels, then add them to the list. If you add more than one user at a time, all users will have the same level of access.
  6. Select Save.

Unshare a report

If you do not want access to a private report that is shared with you, for example, it is not relevant to you anymore, you can remove your access.
Note

After you remove your access, you will not be able to view or edit the private report unless it is shared with you again.

  1. Sign in to the web app.
  2. Select the Dashboard tab.
  3. From the reports list, select the expand button , then select the report that you no longer want to access.
  4. Choose Actions > Unshare Report With Me.

Make someone else the owner of your report

You can transfer ownership of any report that you own. However, a report can have only one owner. If you make someone else the owner of your report, you can no longer edit its share settings.

  1. Sign in to the web app.
  2. From the Dashboard tab, select a report that you own.
  3. Choose Actions > Share Report.
  4. Choose Make Owner next to the name of the new owner.
  5. Select Save.

Find a report

To make it easy to find reports that are most relevant to you, the reports list is divided into the following sections.

Private Reports I Own
Private reports that you create or where ownership was transferred to you.
Shared With Me
Private or public reports in which you are a named user who has Can View or Can Edit access.
Public
All public reports that are not shared with you.
