People data in dashboard reports

Use people data in dashboard reports to better understand participation, contribution, and workload across your improvement program. Learn how people data works, where you can use it, and how it can affect report results.

About people data

People data is information about individuals that you can use to group, filter, and display dashboard results. For example, you can group project metrics by project owner or project participant, filter a report to selected people, or display people and their associated projects in a column set.

A report that contains people can include:

  • People with an "official person record" managed in the Minitab License Portal.
  • People referenced in project data.
  • People with no project activity that matches the report conditions.

Use people data when you want to answer questions about who is participating in your improvement program and how work and results are distributed across individuals. For example, you can do the following:

  • Compare the number of projects associated with each person to evaluate participation or workload.
  • Group metrics such as savings by person to evaluate contribution.
  • Identify people who have no project activity during a selected time period.
  • Focus a report or summary on a selected group of people.
  • Review the projects associated with each person.

How people data works

People data is available for use with existing dashboard report components. You do not create a separate type of dashboard report. Instead, you can use people fields when you configure summaries, filters, and column sets.

When a report uses people data, Engage can include people even when they have no project activity that meets the conditions of the report. For example, if you summarize the number of projects by person and apply a time range, a person with no matching projects can appear with a count of 0. A count of 0 helps you distinguish people with no matching activity from people who are missing from the report data.

Understand totals when you group by people

When you group a metric by a people field, the same project can be associated with more than one person. Each person receives the full value of the project when the metric is grouped by person.

For example, if a project has $10,000 in savings and 3 people participate in the project, the report can show $10,000 for each participant when savings are grouped by project participant. As a result, the sum of the values for individual people can be greater than the overall project total.

Where you can use people fields

People data contains fields that identify or describe the people available for reporting. You can use the fields from the People category in the following dashboard report components:

Summaries
Use a people field in a summary as a grouping variable when you want to compare a project metric across individuals. For example, group Number of Projects by Project Owner, Project Participants, or team role to evaluate workload distribution. For more information, go to Create summaries.
Filters
Use a people field in a report filter when you want the entire dashboard report to focus on selected people. For example, you might select a particular set of practitioners or exclude people who are not relevant to the analysis. For more information, go to Create filters.
Column Sets
Use a people field in a column set when you want to start with a list of people and then review the projects associated with each person. People with no matching project activity can still appear as rows. For more information, go to Create column sets.
