Project Today, Team Members & Roles, and Tasks

Use these forms to collect important information about your project.

Project Today answers the questions:
  • Who is involved in this project?
  • How is the project progressing?
  • Is the project ready for the next phase?
Team Members & Roles answers the questions:
  • Who are the members of this project's team?
  • What roles do they play on the team?
  • How does each member contribute to the success of the project?
  • How can I contact a team member?
Tasks answers the questions:
  • Which tasks are in progress?
  • Which tasks are at risk?
  • Who is responsible for each task?
  • When did work on the task begin and end?
  • Which tasks have the highest priority?
When to Use Purpose
Pre-project Set start dates. Plan and schedule the project kick-off. Collect information about the project and its team members.
Start of project Schedule meetings. Create and assign tasks. Estimate due dates and set dates for phase gate reviews. Update team member information.
Mid-project Schedule meetings. Create, assign, and monitor tasks. Evaluate due dates, project health, and project status.
End of project Finalize project status and phase information. Close tasks.

Data

This form has no data requirements because you use it only to collect and organize data.

Guidelines

  • Complete as much of each form as possible prior to the project's start so you can share this information at the project kick-off.
  • Update the forms often throughout the project so team members can be sure they have the latest information.
  • When information changes, update the forms immediately to keep all team members up-to-date.
  • When the project is complete, verify and finalize the data in the forms to create an accurate project archive.

How-to

Under Management, double-click the form to open it in the workspace.
  • In Project Today, enter information in the data fields and choose options from the drop-down lists.
  • In Team Members & Roles, enter the names of those who play a role on the team. In the table, click the add button , choose Create New Team Member, and enter the contact information.
  • In Tasks, click the add button , choose Create New Tasks, and enter information about the task. Click All Tasks Gantt Chart to see a graphical timeline of project tasks.
