Change the appearance of objects such as text boxes, shapes, and tables. You can also create a reusable set of formatting options.

Change the format of an object

To change the format of objects such as text, shapes, and lines, complete any of the following right-click options:

Action Instructions
Format fonts and paragraphs, including font style, alignment, and spacing. Highlight the text, right-click it and choose Format > Text.
Adjust the type, color, and thickness of a line, such as a connector or a shape's outline. Right-click the object, choose Format > Line.
Change the background color and pattern of an object, such as a shape on a map. Right-click the object, choose Format > Fill.

Use Format Painter to copy a format

To quickly copy the formatting of one object to a different object, use Format Painter:

  1. Select the object that has the formatting to copy and then click the Format Painter button on the toolbar.
  2. Select the object to apply the formatting to and then click the Format Painter button on the toolbar.

Create a Quick Format

Create a Quick Format so you can apply the same set of formatting options to different objects.

  • Create a new Quick Format.
    1. Click New.
    2. In the Format dialog box, choose a set of formatting options.
    3. Click OK.
  • Create a new Quick Format from an existing format. Modifying an existing format is not recommended.
    1. From the Formats list, select the Quick Format to copy.
    2. Click Copy.
    3. Type a name for the format.
    4. Click Modify.
    5. In the Format dialog box, choose a set of formatting options.
    6. Click OK.

Apply a Quick Format to an object

  1. Select one or more objects. To select multiple objects, press Ctrl or Shift.
  2. Choose a format from the toolbar. For example, My new format is a custom Quick Format.

Assign a new default format for an object

Each object in a process map, brainstorm, and presentation has a default format, which is a set of formatting options. You can assign a Quick Format as the default for an object so that all new instances of that object have the new format. Existing objects are not updated with the new format.

  1. Choose Format > Defaults.
  2. In the Format Defaults dialog box, choose the format to apply to the object. For example, My new format is applied to all new shapes.
  3. Click OK. The next time you add the object, it has the new format.
